Note: We’re changing transaction history to make it easier to use. These changes are being gradually rolled out starting in January, so not everyone will have the new version at first.

What’s changing in transaction history?

What is changing in transaction history?

We’re making several updates to make charges and payments easier to understand.

  • Transactions have clearer descriptions, and each transaction has a slideout summary where you can see the transaction’s details
  • The transaction summary shows all charges, including fees and taxes, as well as payments, and you can easily download and print invoices and receipts for each item
  • One transaction ID will cover all the invoices that belong to a specific transaction, instead of having separate reference IDS for each item and a parent reference ID
  • Escrow information for fixed-price contracts is moved to a separate page for clarity
  • New filters let you focus on what you want to see, along with improved filtered totals to give you financial information at a glance
What’s included in the new transaction summary?

The summary includes line items for charges, related fees, and related taxes all in one place, simplifying reconciliation. Your payments that applied to the transaction will show at the bottom of the summary in the receipt section. If you make a bulk payment, you’ll see both the total payment and the part that applied to this transaction.

What if I need an invoice or receipt for a specific charge or payment?

You can download an invoice for a specific line item by choosing the download icon for that item under the Invoice or Receipt columns. If you’re doing bulk downloads of PDFs from the main page of the transaction history, both the transaction summaries and the individual invoices will download into the zip file.

How do I find my escrow information for fixed-price contracts in the new transaction history?

For fixed-price contracts that use escrow, you can access your escrow balance and transaction information from the transaction summary. In the description column of the first line that shows the charge from the freelancer, select the View funds in escrow link. This will take you to a page with two tabs, one for your escrow balance and one for your transactions.

Can I switch back to the old version of transaction history if I don’t like the new one?

To help everyone adapt to the changes, you can toggle between the old and new versions through April 30, 2025.

The new transaction history experience

If your transaction history looks like this, please see the information below:

To help you focus on getting your projects done, we try to make tasks like record keeping as easy as possible. All billings and payments on your Transaction history have official invoices and receipts that you can download or print for record-keeping purposes.

Invoices are for record-keeping purposes only. The finance system charges your billing method automatically whenever you have a balance due.

Get an official invoice or receipt

To access individual invoices, follow these steps:

  1. Go to Reports > Transaction history
  2. Select the transaction row to see the transaction summary in the slideout, which will display all charges and payments related to that transaction
  3. To download both the transaction summary and the individual PDFs for each charge and payment, choose Download PDF
  4. To download an invoice or receipt for a specific charge or payment on the summary, choose the download icon in the invoice or receipt columns

Bulk download invoices and receipts

The way we process your bulk invoice downloads depends on how many invoices are in your request:

  • Small requests: Most bulk invoice downloads process within 30 seconds. The files will appear in your computer’s downloads folder
  • Large requests: Larger downloads may take up to two hours to process. When ready, a link to a ZIP file will be sent to your account email and will remain active for 72 hours. Notifications will also appear on Upwork
  • Errors: If you select too many invoices, reduce your request size using filters, such as date range or transaction type, and try again.

To download bulk invoices and receipts:

  1. Go to Reports > Transaction history
  2. Apply any filters you want to use to refine the list of transactions. Options include dates, transaction types, by freelancer, and by contract
  3. Choose the Select download dropdown
  4. Choose a CSV file, which shows a summary of transactions, or PDFs, which will generate separate PDFs for each transaction in one zip file.

What’s included on invoices and receipts

A transaction summary shows each part of the transaction, including charges and related taxes, to simplify reconciliation. Your payments that applied to the transaction will show at the bottom of the summary in the receipt section.

  • You can open an invoice or receipt for a specific line item by choosing the download icon in the Invoice or Receipt columns
  • All applicable fees will be displayed, including the Marketplace Fee and one-time Contract Initiation Fee, for example. If you have an active Upwork Payroll contract you’ll also see your payroll service fee listed
  • Any applicable taxes that apply to your transaction
  • If you make a bulk payment that applies to more than one transaction, you’ll see the amount that applied to the transaction you’re viewing and the total payment

Escrow balance and transactions for fixed-price contracts is available on a separate page for clearer tracking, but you can access this page from your transaction summary. Select the View escrow funds link in the description column of the charge for the freelancer’s work. Learn more about how to see your escrow information.

Contact information for you and your freelancer will display on all invoices and receipts, including the transaction summary and line item invoices. This information includes:

  • Your company name
  • Your company tax residence. You can update this under Settings > Tax information to ensure accuracy
  • Your company owner’s name
  • Your company’s VAT number (if applicable)
  • The freelancer’s verified name, and optionally, their invoicing address

Note:

To help protect the security of your financial information, we have limited the invoice and receipt tools in Transaction history to company owners and admins with full or finance-only permissions.

Bulk download invoices and receipts

The way we process your bulk invoice downloads depends on how many invoices are in your request:

  • Most invoice downloads process within 30 seconds. You can access the download immediately after through the downloads folder on your computer
  • If you are downloading larger amounts of invoices, they'll take longer to process. We'll email a link to a zip file to the email address associated with your account when it finishes processing, which can take up to two hours. We'll also notify you on Upwork when it's ready, and the link will stay active for 72 hours
  • If you get an error message that you’ve selected too many invoices to download at once, reduce the number of invoices by changing the filters, like the date range, and try again

To download bulk invoices and receipts:

  1. Go to Reports > Transaction history
  2. It will show a 30-day window by default, but you can adjust the statement time period to show more invoices
  3. Choose the Download Invoices button

Invoices include your company name, company owner's name, and company tax residence. If you have a VAT number, that will be included, too. Your freelancer's verified name will always be included. Some freelancers also provide an invoicing address (this is optional).

You can update your tax residence under Settings > Tax Information

Invoices are created for all billings for freelancer contracts. The Marketplace Fee will be listed on its own invoice, along with any applicable taxes. The one-time Contract Initiation Fee and related taxes will also be listed on a separate invoice, when applicable.

You can make a single payment for multiple weekly invoices, or for less than the invoiced amount due to a credit on your account.

For Upwork Payroll, Enterprise, and Any Hire accounts, you will also see your payroll service fee listed on your invoices and in your transaction history if you have an active payroll contract.

Note:

To help protect the security of your financial information, we have limited the invoice and receipt tools in Transaction History to company owners and admins with full or finance-only permissions.
